The role

The purpose of this role is to carry out administrative work across the planned and responsive maintenance services.

It has the following main responsibilities;

To deal with telephone enquiries efficiently and effectively on behalf of the company, process relevant action

Use Microsoft office packages for letters, spreadsheets, documents and other
Update computer databases, such as QL or DRS, as and when required, for areas such as completed orders, customer contact, complaints, ordering, invoicing or work scheduling
To raise purchase orders, check, process and pay invoices to suppliers, sub contractors and service providers for operatives on a daily basis and to assist with any van stocks queries
Work with other administrative staff to provide cover and ensure that all services across Silcoa are supported and covered
Process and check operative paperwork
Drafting, typing and editing correspondence, papers for meetings and other documents including Health and Safety related matter. Photocopying, collating and distributing documents. Maintaining an appropriate filing system and keeping records as required. Pro-actively chase and follow up documentation.

What we need

For this role you’ll need to have the following skills and experience;

Microsoft Word, Excel and PowerPoint
Producing accurately typed documents
Dealing with telephone calls
Liaising with staff regarding any queries and information required
Dealing with confidential personnel matters
