Based in our busy Liverpool Sales Centre, reporting to the Finance Manager, UK, and working closely with members of the Facilities team, this role will focus on providing an exceptional Reception and general business support service. This role is critical in ensuring the smooth day to day running of our busy sales centre. Everything from switchboard management, meeting room coordination and greeting clients is core to the role, alongside company credit card management and coordination of utilities, supplies and stationary for this 200+ employee strong office.
Meet and greet visitors to reception area
Manage the main phone line and direct calls
Booking and coordinating meeting rooms
Support finance and facility management
Point of contact for Bruntwood (office landlord) & other suppliers
Management of post for the sales centre, both incoming and outgoing
Stationery ordering & stock taking
Cleaning & Utilities coordination
Catering and Vending coordination
Food & beverage orders for meetings with internal and external visitors
Health and Safety coordination for the site
Security pass & system coordination – including the management of visitor passes and necessary access
Facilities ticket process coordination
Office development/enhancement project coordination
Company credit card payments and all administration, inclusive of managing the receipt collection and posting processes.
Qualifications & Experience
Previous experience working as a Receptionist is essential, ideally with previous credit card and general business administration support duties.
Motivated and passionate about fantastic customer service
Conscientious with good attention to detail and standard of numeracy
Comfortable dealing with internal employees and external guests at all levels
Ability to manage a varied workload and prioritise work within a fast-paced environment
Strong sense of urgency and organisational skills
Ability to demonstrate initiative and work without close supervision
Excellent written and verbal communication skills
5 GCSE’s (or equivalent) grade C or above including Mathematics & English
MS Office experience including Word and Excel
