Not-for-Profit organisation is looking for an experienced administrator to come and join their office on an initial 3 months temporary assignment. Job Description Greeting visitors to site and ensuring all visitors complete the sign‐in process Receiving, sorting and distributing mail and preparing out‐going mail for Royal Mail collection Booking travel and hotel accommodation for staff. Receiving incoming telephone calls and using initiative to escalate or action, as appropriate. Servicing internal meetings, including preparing refreshments and booking catering. Arrange external and internal meetings, identifying convenient dates and booking rooms / venues / videoconferencing. Assist the Executive Assistant with preparation and distribution of Board meeting packs to members ahead of their meetings Place orders for office consumables, including office stationery, refreshments and managing stock levels. Maintain tidiness of communal areas eg: kitchen, milk fridge stationery cupboards, meeting rooms. Other administrative duties as nominated by the Head of Study Admin Handling administration of the Imaging project's Incidental Findings process which involves: Tracking findings via a strict process, maintaining an up‐to‐date record of stages completed and escalating issues as required Liaising with Radiographers, Radiologist and the Honorary Specialty Trainee in Clinical Radiology to keep the IF process running smoothly Writing draft wording, letters and corresponding with GP Practices, including issuing follow‐up questionnaires and dealing with GP admin fee requests Handling requests from Hospitals for copies of scans Updating standard operating processes in regards to Incidental findings Preparing written responses to complaints and general participant correspondence Input into Odin any updates received regarding change in participant contact details or notifications of death. Process withdrawal requests and input data to the Withdrawals Management system Handling any enquiries and escalations received from the PRC and escalating issues to the appropriate team as required Assisting with development and review of participant materials Assisting with secretarial support for Executive and Scientific working group meetings, including, identifying convenient dates and booking rooms / venues / videoconferencing and preparing the agenda, distributing papers, attending and minuting meetings. The Successful Applicant The essential criteria for this post are: Minimum 1 year experience in a similar administrative role GCSE Maths and English or equivalent Excellent organisation skills and ability to multi‐task and prioritise work effectively with minimal supervision Pro‐active and able to work well on own initiative, whilst being a good team player Proficient working with IT systems; experience of MS Office Confident communicator with polite and professional attitude to work Must be able to follow standard operating processes and procedures and display attention to detail Respect for confidentiality Willingness to work flexibly to meet business demands Desirable: Scientific Degree Experience of large‐scale cohort study research Ability to minute scientific meetings and attend to follow‐up actions What's on Offer Immediate Start Weekly Pay 3 Months Assignment Great opportunity
