Administrative Support Officer

Job description          

The Planning and Council Secretariat section is seeking two Administrative Support Officers to provide essential administrative support across the section, one being the first port of call for those in the Governance team, and the other for those in the Planning team. If appointed to this position, you will provide general administrative support across the section, in particular relating to Council and its committees and web support, being the first port of call for those in the Governance team. You will also provide specialist support for the administration of Congregation membership and the management of the Congregation database. Both you and the candidate appointed to the other post will need to work across the section to provide support where it is most needed. You will be required to develop an understanding of key committee processes and the University’s web content management system, alongside an in-depth knowledge of the processes for managing the membership of Congregation, working with the University’s bespoke database for administration of Congregation membership. Training will be provided as needed. You will be required to work collaboratively with members of Planning and Council Secretariat and with staff across the University. As your experience in the role develops, it is expected that there will be opportunities to engage with other areas of the section’s work and gain knowledge across a range of planning and governance related areas. The two posts are being advertised together, this post at full-time and the other (vacancy 142774) at 0.6 FTE. Some duties are shared, and some specific to the advertised post. There is a need to provide cover across the whole section in normal office hours throughout both the week and the year, although the time when the committees are meeting – during term and shortly before and after – are the busiest. Subject to operational requirements, the panel would not preclude, for example, filling both posts at 0.8FTE if two otherwise suitable applicants wished to work those hours.
